Full ADA case management, structured for the record you need

ADA accommodation cases generate more documentation than most HR systems are built to handle. ADAChamp gives each case its own structured record: a configurable status workflow, a tamper-proof interactive process log, separate tracking for medical documentation requests, and per-case essential functions analysis.

Ten status stages come pre-configured — Draft, Submitted, Under Review, Information Requested, Pending Decision, Approved, Partially Approved, Denied, Withdrawn, and Closed. Organizations can add custom stages without modifying the system defaults, which stay protected from accidental changes.

Cases support nine accommodation types out of the box, and a single case can carry more than one.

02 / Process

Interactive process log

The interactive process is a legal requirement, and the log is your proof it happened. Every meeting, decision, and communication gets recorded in an append-only audit trail.

Sixteen interaction types cover the full scope: initial request acknowledgment, requests for and receipt of medical information, employee and manager meetings, proposed and offered accommodations, employee responses, decisions and decision communications, implementation confirmation, follow-up check-ins, requests for reconsideration, and case closure.

03 / Documentation

Medical documentation tracking

Documentation requests track separately from the case log so you always know what you asked for, when you asked for it, and what came back. Each request records the documentation type, due date, delivery method, and received status.

Deficiency notes attach to the original request without overwriting it, and clarification requests log with their own dates. The record stays intact regardless of how many follow-ups it takes.

Essential functions analysis

For each case, document the job functions relevant to the accommodation decision, classify each as essential or marginal, record the basis for that classification, and note whether the employee can perform the function with the accommodation under consideration.

That per-case record builds the documented foundation for approval or denial decisions and holds up if a decision is later reviewed.
